Position Summary

The Coordinator of Advisory Councils conducts recruiting, screening, interviewing and training for Patient & Family Advisors (PFA), Community Advisors, Focus Groups, and Team Member Committees: reviews new PFA requests and assign appropriate candidates to meet the needs. Develops a plan to recruit new members to the service and sets monthly goals for that development.

Promotes community interest in Experience programs and the hospital through speaking engagements, special receptions, hospital tours and other activities as assigned.


1.Conducts recruiting, screening, interviewing and training of new members: reviews new request and assign appropriate members to meet the needs. Responsible for the development and supervision of action plans and metrics. Members are defined as patient/family volunteers or team members signing up for volunteer participation in Experience committees. The Experience Advisory Coordinator does not have direct reports or manage employees.

2.Works with the service line supervisors to meet the volunteer needs for units/departments.

3.Coordinates member orientation and trainings.

4.Maintains database and listservs through SmartSheet, Excel, Sharepoint tracking system and generates reports for administrative needs.

5.Creates and distributes various communications and publications i.e. quarterly newsletters, brochures, outreach opportunities.

6.Coordinates office internships.

7.Organize and facilitates member recognition programs and special events.

8.Promotes community interest in Experience programs and the hospital through speaking engagements, special receptions, hospital tours and other activities as assigned.

9.Matches member skill-sets with the needs and demands of the service line; meets with management team of assigned service line to support their needs; provides quarterly performance reviews of the effectiveness of the members; responsible for identifying coaching needs and referring to the proper intervention.

10.Develops meeting agendas, meeting minutes, surveys, work plans, and member communications.

11.Administrative duties, such as managing calendars, travel, expenses, communications, and timekeeping, are required.

Minimum Requirements

Bachelor's degree, or related degree required. Additional years of experience may be substituted for the required education for candidates with an Associates degree.

Minimum 1 year previous experience working with volunteers, committees, or service related organizations with a membership base. Proficient in Microsoft Office and Adobe Creative Suite required. Epic and Sharepoint experience preferred.

Must be comfortable speaking to medium to large groups of people in meeting settings, via web-conference or in person.
